JobTimey ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and related services (collectively, the "Service").

Please read this Privacy Policy carefully. By using JobTimey, you consent to the data practices described in this policy.

1. Information We Collect

Account Information

When you create an account or are invited to join an organization, we collect:

  • Name
  • Email address
  • Password (stored securely using industry-standard encryption)
  • Organization affiliation and role

Time & Attendance Data

When you use JobTimey to track your work time, we collect:

  • Clock-in and clock-out times
  • Job site assignments
  • Time entry notes (if provided)
  • Break time records
  • Entry type (manual, timer, or geofence-triggered)

Device Information

We automatically collect certain information about your device, including:

  • Device type and operating system version
  • Unique device identifiers
  • App version
  • Crash reports and performance diagnostics

2. Location Data & GPS Tracking

Important: JobTimey uses location services to provide core functionality. Your employer/organization administrator has enabled location tracking as part of your organization's time tracking policy.

What Location Data We Collect

With your permission, we collect:

  • GPS coordinates: Latitude and longitude when you clock in/out or enter/exit job site geofences
  • Position accuracy: To ensure reliable location data
  • Motion activity: Walking, driving, or stationary status to optimize battery usage and improve tracking accuracy
  • Speed and heading: For movement detection purposes

When We Track Location

Location tracking occurs:

  • During work hours: From clock-in to clock-out to verify job site attendance
  • For geofencing: To automatically detect when you arrive at or leave designated job sites
  • Background tracking: When enabled by your organization, the app may track location in the background to support automatic clock-in/out at job sites

When We Do NOT Track Location

  • During breaks (unless configured otherwise by your organization)
  • After you clock out (unless geofencing is enabled for next-day arrival detection)
  • Personal activities outside of work

Location Data Retention

Movement and location data is retained for 7 days on your device for synchronization purposes. After syncing to your organization's account, retention is governed by your organization's data policies.

3. Data Ownership & Your Organization

Important: When you use JobTimey as an employee or contractor, the work-related data you generate belongs to your organization (employer), not to you personally.

Organization-Owned Data

The following data is considered property of your organization:

  • Time entries: All clock-in/out records, hours worked, and timesheet data
  • Location records: GPS coordinates captured during work hours for attendance verification
  • Job site attendance: Records of which job sites you visited and when
  • Work notes: Any notes or comments added to time entries

Why Organizations Own This Data

As an employer, your organization has legitimate business interests in maintaining accurate records of:

  • Hours worked for payroll processing
  • Attendance verification for compliance with labor laws
  • Job costing and project management
  • Historical records for audits, disputes, or legal requirements

Organization Data Retention Rights

Your organization may choose to retain work-related data even after you leave or delete your account. This includes:

  • Maintaining time records as required by labor regulations (typically 3-7 years)
  • Preserving attendance history for payroll audits
  • Retaining job site records for project documentation

When you delete your account, your personal identifying information (name, email) will be removed or anonymized, but your organization may retain the underlying work records in accordance with their data retention policies and legal obligations.

Your Personal Data

The following remains your personal data:

  • Your account credentials (email, password)
  • Personal device information
  • Location data collected outside of work hours (which we do not collect)

4. How We Use Your Information

We use the information we collect to:

  • Provide the Service: Track time, manage job assignments, and generate timesheet reports
  • Automate clock-in/out: Use geofencing to automatically record when you arrive at or leave job sites
  • Verify attendance: Confirm work was performed at designated locations
  • Improve the Service: Analyze usage patterns to enhance features and fix issues
  • Communicate with you: Send service-related notifications (e.g., session expiration alerts)
  • Ensure security: Detect and prevent fraud or unauthorized access
  • Comply with legal obligations: Maintain records as required by labor laws

5. Data Sharing & Disclosure

With Your Organization

Your time entries, location data at clock-in/out, and attendance records are shared with your organization's administrators. This is essential for the Service to function as a workforce management tool.

Service Providers

We may share information with third-party service providers who assist us in operating the Service:

  • Sentry: For error tracking and crash reporting to improve app stability
  • Google Maps: For map display and geocoding services

These providers are contractually obligated to protect your information and use it only for the purposes we specify.

Legal Requirements

We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., court orders, subpoenas).

Business Transfers

If JobTimey is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

What We Do NOT Do

  • We do NOT sell your personal information to third parties
  • We do NOT share your location data with advertisers
  • We do NOT use your data for targeted advertising

6. Data Retention

We retain your information for as long as necessary to provide the Service and fulfill the purposes described in this policy:

  • Account data: Retained while your account is active and for a reasonable period thereafter
  • Time entries: Retained according to your organization's policies and applicable labor law requirements (typically 3-7 years)
  • Location/movement data: On-device retention of 7 days; server retention governed by organization policy
  • Error logs: Retained for up to 90 days for debugging purposes

7. Data Security

We implement appropriate technical and organizational measures to protect your information:

  • All data transmitted between the app and our servers uses HTTPS/TLS encryption
  • Passwords are hashed using industry-standard algorithms
  • Access to personal data is restricted to authorized personnel only
  • We regularly review and update our security practices

However, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.

8. Your Rights & Choices

Access & Portability

You may request access to the personal information we hold about you. Contact your organization administrator for time entry exports, or contact us directly for account-related data.

Correction

You can update your profile information (name, email) directly in the app under Settings > My Details.

Deletion

You may request deletion of your account through the app (Settings > My Details > Delete Account). Upon deletion:

  • Your login credentials will be deactivated (you will no longer be able to sign in)
  • Your personal information (name, email) will be anonymized
  • Your email address will be freed up for potential re-registration

Important: As described in Section 3 (Data Ownership), work-related data such as time entries, attendance records, and location logs are owned by your organization. Your organization may choose to retain this data in accordance with their policies and legal obligations, even after your account is deleted. This data may be retained in anonymized form where your name and email are no longer associated with the records.

Location Permissions

You can control location permissions through your device's settings. Note that disabling location services may limit the functionality of the app, including automatic clock-in/out features.

California Residents (CCPA/CPRA)

California residents have additional rights under the California Consumer Privacy Act:

  • Right to know what personal information we collect and how it's used
  • Right to delete personal information
  • Right to opt-out of the sale of personal information (we do not sell personal information)
  • Right to non-discrimination for exercising your privacy rights

European Users (GDPR)

If you are located in the European Economic Area, you have additional rights including:

  • Right to access, rectify, or erase your personal data
  • Right to restrict or object to processing
  • Right to data portability
  • Right to withdraw consent at any time
  • Right to lodge a complaint with a supervisory authority

9. Third-Party Services

JobTimey integrates with the following third-party services:

We are not responsible for the privacy practices of third-party services. We encourage you to review their privacy policies.

10. Children's Privacy

JobTimey is designed for business use and is not intended for children under 18 years of age. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us immediately so we can delete it.

11. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws. By using JobTimey, you consent to such transfers. We take appropriate safeguards to ensure your information remains protected in accordance with this Privacy Policy.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by:

  • Posting the new Privacy Policy on this page
  • Updating the "Last Updated" date at the top
  • Sending an in-app notification for significant changes
